At Clementine.fr, the acceptance of contractual documents must be tracked and evidenced with the level of rigor expected in the accountancy sector. Already using Axeptio’s CMP, the company chose to extend the partnership with Terms to better manage the collection and traceability of consent for its online legal documents. We spoke with Jérôme Simon, CTO of Clementine.fr, to discuss the company’s current challenges, how Terms is being used, and the impact it has had on both internal teams and client relationships.

Clementine.fr: a Full-Service Accounting Platform Facing New Challenges
Since 2012, Clementine.fr has been developing accounting and pre-accounting services. The company offers both a software solution that enables clients to manage their accounting independently, and support from qualified professionals registered with "l'Ordre des experts-comptables" (the French Institute of Chartered Accountants).
The service is built around a web interface where clients can centralize their interactions with Clementine’s various departments, from accounting to legal and payroll matters. Through this interface, they can access dashboards, track their business activity in real time, and manage all the key operations involved in accounting administration: invoicing, VAT, business management and performance tracking, as well as the production of certified financial statements. A mobile app rounds out the platform.

Moving From an In-House Tool to a Third-Party Solution to Secure Proof of Consent
As part of the digitalization of its activities, Clementine.fr needed to submit a contract amendment to its clients. This requirement led the company to look for a suitable solution to track acceptance. Since Clementine.fr was already using Axeptio’s CMP on the marketing side, the company entrusted its legal team with choosing the right tool.

Terms was then rolled out to cover other contractual documents, including the privacy policy, terms of use, and terms and conditions of sale.
Until then, Clementine had relied on an internally developed tool to manage these policies. The adoption of Terms for the contract amendment opened up the possibility of integrating the management of contractual documents into other key stages of the user journey.

Giving Legal Teams Greater Autonomy
The technical integration of Terms was carried out in collaboration with Axeptio’s teams.
Once the solution was in place, the legal teams were able to manage the entire lifecycle of contractual documents directly from the interface, with full autonomy: creation, modification, publication, version management and acceptance tracking.
The role of the technical teams is now limited to occasional interventions, particularly for data exports when specific checks are required.
Looking ahead, Clementine.fr is already considering extending the use of Terms to other documents requiring traceability, as well as working with Axeptio on certain areas for improvement, such as refusal management and reconciling consent data with other internal databases.
